Documentation Specialist MEX

Purpose of the Job:

Support implementation of centralizing documentation and transport administration handling in Control Tower and local BSC (US,MEX) organization. Handle the document flow for global export orders to ensure delivery of orders to customers according to agreed customer requirements, with correct and timely provided documents. Minimize exposure to penalties due to wrong documentation, demurrage cost or return orders sent back to harbor.

  • Work with respect to specifics of export countries
  • Intensive use of SFDC, SAP ERP and DDMS order systems and other homemade systems

  • Fully understand documentation need and complexity for global export business

  • Minimize exposure to penalties due to incorrect documentation ($ millions)
  • Prepare/collect export documents according to export country or according to customer specifics (transport, commercial, customs)
  • Maintain customer database
  • Ensure orders are ready for loading in applicable info systems (SAP, Assist, Flow)  
  • Handle customs clearance for export out of Mexico and North America
  • Monitor zone samples and deal with issues
  • Being SPOC for any special quality document requests and import license documents
  • Handling inspections
  • Ability to support other team members in operational issues  and providing first level assistance in case Team Leader is not available
  • Shared responsibility with Team Leader for re-solving key operational issues in the team
  • Provide trainings to new comers and support them during the onboarding period
  • Keep the Process Documentation up to date
  • Perform team routines and check points
  • Support to structural improvements (PDCA & Risk Management follow-up) & projects
  • SLA, KPI and Excellence Program dashboard tracking support
  • Minimize exposure related to demurrage
  • Minimize number of return orders back to sending harbor
About the candidate:
Qualifications and Technical competencies required

  • Bachelor or equivalent
  • in the order taking process (or Logistics processes) of 2-3 years
  • in working in ERP (or other SAP module) environment
  • in working in process-oriented organization
  • in Customer Relationship Management
